Office Administrator

Based at our Head Office in Alcester, we are looking for an enthusiastic, motivated Office Administrator to become a permanent part of our team here at CALGAVIN.

On offer is a part time role consisting of 20 hours across Monday -Friday (typically 4 hours per day) and the chance to become part of a dynamic, friendly office-based team. Competitive starting salary of £10.50 per hour

The Role

In this role you assist the HR & Operations Coordinator with the smooth running of all office administration, as well as providing essential cover to our logistics department to ensure the on-time delivery of our products.

Main duties include but are not limited to:

  • Telephone answering.
  • Post handling both internal/external and arranging courier delivery.
  • Maintaining stock levels of stationary, merchandise and vending supplies
  • Updating company database and CRM systems
  • Raising purchase orders
  • Maintaining the company filing system including project filing and yearly project scanning.
  • Logistics Cover- Liaising with freight forwarders to obtain shipping quotations, negotiate price, meet delivery targets and obtain necessary export documentation.
  • Logistics Cover- Prepare export and shipping documentation for all orders.
  • Further Ad hoc admin support to HR & Operations Coordinator and other business functions as needed

The Person

The ideal candidate will possess the following qualities:

  • Excellent communication and inter personal skills
  • MS Office literate, particularly in Excel, Outlook and Word.
  • Self-motivated and flexible
  • Able to work on own initiative and able to prioritise work load
  • Exemplary telephone manner and good communication skills
  • Ability to work closely as part of a team and individually as required.

Previous experience in an administration role is desirable but not essential as all training will be provided.
